What AI brings to a business: time, money and growth
An employee can now prepare a reply faster. That is welcome news, but what has the business gained? Connect the time released to a specific outcome: less paid overtime, more completed orders, faster service or fewer costly mistakes. Each outcome needs its own calculation.

Decide what you want to improve
Choose a measure that matters to the process. In support, it could be resolved enquiries and waiting time. In sales, proposal turnaround and the share of enquiries that become deals. For documents, processing time and the number of corrections. Look at the customer's outcome alongside the team's workload.
Generative AI at Work, published in 2025, found a 15% average increase in support issues resolved per hour with an AI assistant. The study covered 5,172 support agents at one company. This measured result for a particular process cannot be applied automatically to every business.
Brynjolfsson, Li, Raymond — Generative AI at Work, The Quarterly Journal of Economics, 2025 ↗Measure the full path to a finished result
Compare the time from starting a task to an accepted result. Include preparing information, using the assistant, reviewing its output and making corrections. A draft generated in a minute but edited for half an hour does not represent a one-minute task.
Consider a worked example. A team handles 1,000 enquiries a month at 12 minutes each: 200 hours. The new approach, including review, takes 5 minutes per enquiry: roughly 83.3 hours. That releases around 116.7 hours a month. First check that answer quality holds for both ordinary and difficult questions.
A worked example
1,000 × 12 minutes = 200 hours. 1,000 × 5 minutes ≈ 83.3 hours. Around 116.7 hours a month are released, provided quality is maintained.
Separate available time from cash savings
Assume a full labour cost of RUB 900 an hour in this example. The released time has a value of roughly RUB 105,000. This represents available team capacity. Salaries do not automatically decrease, so the entire amount cannot be counted as a cash saving.
Suppose 40 of those hours previously required paid overtime that is now genuinely unnecessary. At the same assumed hourly cost, spending falls by RUB 36,000. If running and maintaining the solution costs RUB 20,000 a month, net cash savings are RUB 16,000. The remaining time can go towards customers and development.
Include launch and ongoing costs
Budget for configuration, connecting data, team training, AI usage and support. Include the process owner's time and work on errors. Keep one-off implementation costs separate from monthly operating costs so the same amount is not deducted twice.
Continue the example with a one-off implementation cost of RUB 96,000. At a sustained net cash saving of RUB 16,000 a month, the simple payback period is six months. This assumes the same volume of enquiries, maintained quality and overtime spending that actually disappears. Different conditions change the result.
Work out what the extra capacity makes possible
Available time supports growth when there is useful work the team previously could not take on. Account managers can respond faster to new customers, specialists can support more projects and leaders can investigate lost opportunities more often. Extra hours do not create demand on their own.
If sales grow, calculate additional profit after the costs of fulfilling those orders. Revenue growth is not the same as profit. Do not add the value of available hours to the income earned through work done in those same hours: that would count one benefit twice.
Keep measuring after launch
Compare time, quality, actual spending and customer feedback before and after implementation. The team is still learning in the first weeks, so one successful day says little about lasting value. Check sustained results at comparable task volumes and account for seasonal changes separately.
A useful project gives a clear answer: which work became easier, where the available time went and which costs actually changed. Decisions about further development can then use the company's own evidence.
What to take away
AI creates value through a specific working process. Measure time including review, cash savings through spending that actually falls, and growth through additional profit. These are three different outcomes, each requiring its own measurement.
