An AI assistant that understands your company
“What did we agree with this customer?” “Where is the latest instruction?” “What still needs doing after the meeting?” These questions send people searching through folders and messages. A useful AI assistant shortens the search: it finds the relevant information, shows its source and helps with the next step.

Start with employees' questions
Collect the questions your team asks every week. Sales needs the conversation history and current terms. Support needs instructions and known ways to solve a problem. New employees need working procedures and the right contacts. These questions help identify the information worth connecting first.
Choose one complete scenario. Before a customer conversation, for example, an employee receives a short history of enquiries, outstanding issues and links to the latest agreements. They spend less time preparing and arrive with the information they need. That is a clear purpose for the first version.
Make your shared knowledge usable
The assistant needs current documents. Three undated price lists in a shared folder create a problem before AI enters the picture. Give each important document a clear owner, version and validity date. Separate outdated information from current material and resolve contradictions with the team.
Different sources answer different questions. Deal terms come from the agreed document, an order's status from the tracking system, and internal rules from current instructions. Decide which source takes precedence when information conflicts. The assistant should surface the discrepancy so a person can resolve it.
Show the basis for each answer
A useful answer links to the document or record behind it. An employee can open the source, check the date and see the context. If the information is missing, the assistant should say so clearly and suggest where to clarify it.
The US National Institute of Standards and Technology also warns about fabricated explanations and citations. Check whether the source exists and supports the particular answer.

An assistant should use information the individual employee is entitled to access for their work. A sales manager does not need the whole workforce's personal information. Microsoft Copilot's documentation likewise limits access to company information through the signed-in user's permissions. This is a useful principle for a custom solution too.
Before connecting documents, check who can already access them. Easier searching can make old permission mistakes more visible. Decide where information is processed, how long conversation history is kept and who maintains the connected sources.

The next step is assistance within the workflow. Meeting outcomes can become draft tasks, a customer's history a draft email, and a document the filled-in fields of a record. Employees need to see what will change and which information supports it. Significant agreements and external commitments deserve the responsible person's attention.
Start by preparing drafts. Once quality is demonstrated, selected, clearly defined actions can be automated. That decision depends on the process: what a mistake would cost, how quickly it could be noticed and whether the correct state could be restored.
Check the assistant against real questions
Prepare ordinary, difficult and deliberately unanswerable questions. Ask it to find a current price, compare two document versions and explain a condition that the documents do not contain. Check answers against their sources and try different employee permissions. Honestly acknowledging missing information is a valuable capability.
After a small initial rollout, measure the time to a useful answer, corrections needed and the share of tasks where the assistant helped. Collect unsuccessful examples, update documents and show colleagues how to check answers. The assistant can then become part of everyday work and improve with the company.
What to take away
A useful assistant starts with a clear work question, current knowledge and an answer people can verify. Connect those three elements, then add actions as their quality and practical value are demonstrated.
